How to prepare a surplus stock list for a bulk buyer

A practical inventory manifest checklist for brands and ecommerce teams preparing apparel, home, kitchen or electronics stock for sale in India.

Start with a useful picture of the lot

A useful surplus stock list tells a buyer what the products are, how many are available, what condition they are in and where they are located. You do not need a polished presentation to start the conversation. A clear spreadsheet and a few representative photographs are often more useful.

For an inventory team, the aim is to make the available stock understandable without making the buyer guess. “Assorted apparel, 2,000 pieces” is a starting point. A breakdown by style, size and condition is a basis for a much more specific discussion.

This guide is for businesses selling their own bulk inventory or acting with authority from the stock owner.

Give each product group its own row

Use one row for each SKU or model and condition group. If identical products are split between new stock and customer returns, keep those groups separate.

Useful columns include:

  • Product name, brand and SKU or model
  • Category and relevant variant, such as size or colour
  • Available quantity and unit of measure
  • Known condition and any missing components
  • Warehouse or stock location
  • A reference to the corresponding photographs

If you include original retail value, identify what the figure means. A printed MRP, an old selling price and a current retail price are different reference points. None of them is a promise of the value a liquidation buyer will offer.

Liquidation platforms also use manifests to describe the contents of a lot. B-Stock’s guide to manifests is a useful reference for the basic identification and quantity fields.

Separate stock origin from stock condition

“Customer return” explains how an item came back. It does not tell the buyer whether it works, whether it has been used, or whether its accessories are present.

Record what you actually know. If units have not been tested, say “untested.” If the packaging is damaged but the product has been checked, describe those two facts separately. A damaged label and a damaged garment should not end up under the same unexplained condition code.

Where your business uses internal grades, include a short definition. A grade such as “B” may mean something different to another organisation. Plain descriptions prevent avoidable ambiguity.

Add the details that matter for your category

Apparel: include style, size, colour, tag status and any known garment defects. An uneven size mix can matter to a buyer even when every item is new.

Home and kitchen: describe set contents, dimensions when relevant, breakage and missing pieces. Identify whether a “unit” means one item, a boxed set or a carton.

Electronics: include model and variant, tested or untested status, known faults and supplied accessories. Note device locks or other access restrictions where relevant.

These details are preparation guidance, not a requirement to complete an extensive audit before contacting a buyer. Start with the information you have and agree what further review is useful.

Make photographs easy to match

Photograph representative products, packaging and visible exceptions. Use a simple file naming convention that corresponds to a row or SKU in the stock list.

Avoid a folder containing hundreds of unnamed images. A small, organised selection can help the buyer identify the right questions. If photographs show only a sample, say so; do not imply that every unit has been inspected.

Before sharing a file externally, remove unrelated customer information, internal margins and confidential commercial data that the recipient does not need.

Start the buying conversation

A first enquiry can be short: category, approximate quantity, known condition and stock location. Tell the buyer if a detailed manifest is available, then agree an appropriate way to share it.
